Best practices for new Wiredrive administrators
Every company has at least one person who is the Wiredrive go-to person. He or she is may be the encoding exports, the Library vault person or the support contact for the company. Sometimes these people leave and a new go-to person fills their shoes. Use this checklist to make sure that all your bases are covered when new administrators take over the Wiredrive reins.
Update your support footer
The information at the bottom of presentation emails is your support footer. If it needs to be updated, contact your account manager to submit the request.
Audit unauthorized users
All the system security in the world won’t stop former employees or freelancers with login credentials from going into your system and wreaking havoc. Audit your user list to make sure that its up to date as turnover inevitably happens. The following resources will help you manage the people side of the system:
- Learn about users and access levels
- Learn about adding and managing Projects or Library users
- Learn how to log in and request new passwords
Audit Library and delete old files
The person who signs the checks will decide which files are worth keeping, but you should become familiar with the analytics tools and process for managing files:
- Export an inventory of your Library assets
- Library storage and usage report
- Library presentation report
- Managing Library files
- Determine how much storage you need
Audit, delete and create metadata
If you are updating, adding or removing files from your system, you should also manage your credits list and keywords:
- Creating and managing credits
- Creating and managing keywords
- Sample Library credits list
- Publication-ready credits list
Encoding files
The vault person adds finished work to the system. But proper file preparation must be observed to ensure quality playback:
- Video encoding settings for Wiredrive
- Encoding for the Web best practices
- What kinds of files are supported in Wiredrive?
Uploading files
Administrator level access is required to Library. You will need to know everything about adding files to your system:
- Adding assets to Library
- Publishing assets to Library in bulk
- What’s the largest file I can upload?
- Replace the auto-generated thumbnail with your custom image
- Crop letterbox bars in QuickTime Pro
- How to add assets to the Library homepage
